Job Description

Position Summary The role of Executive Assistant is responsible for providing sales, administrative and coordination support to one of our leading Real Estate Agents. This role will ensure that all services and activities are delivered with the highest level of detail and standard. As a key ‘go-to’ person for the team, you will ensure that any issues are resolved effectively, and requests are completed within a timely manner. The industry is fast paced and requires an extremely high attention to detail, meticulous planning ability and a positive and proactive attitude. Key Responsibilities ● Manage end-to-end marketing campaigns ● Oversee real estate marketing activities, including social media strategy and execution ● Attend client appointments, inspections, and internal meetings ● Contribute to project marketing initiatives ● Operate within tight deadlines and timeframes ● Act as a liaison between stakeholders, ensuring smooth communication ● Prepare and coordinate marketing materials for property listings ● Assist with auction day activities and open homes ● Organise and prepare for auctions and open inspections ● Attend property valuations, buyer appointments, and inspections ● Maintain up-to-date knowledge of market conditions, residential inventory, and pricing ● Coordinate client appointments, team schedules, and meetings ● Provide reports and feedback to the team regarding client interactions and outcomes ● Maintain a proactive approach to learning and professional growth ● Manage and nurture client relationships ● Conduct pre-settlement inspections ● Carry out any prospecting if required ● Carry out letterbox drops or coordinate with contractors as needed ● Organise photographers, valuation appointments, building inspections, and EER inspections ● Consistently strive to meet and exceed established KPIs ● Maintain accurate records and reporting documentation ● Perform any ad hoc administrative tasks as requested Required Experience and Attributes ● Strong self-motivation and high levels of self-discipline ● Proven administrative skills and excellent computer proficiency ● Exceptional verbal and written communication abilities ● Professional and polished personal presentation ● Keen attention to detail ● Proficiency in Microsoft Word and Excel, and willingness to learn new software systems ● Current ACT driver’s license and access to a reliable vehicle ● Positive attitude with strong organisational and time management skills ● Excellent interpersonal and relationship-building capabilities Note: Experience within the industry would be highly advantageous. You will be required to obtain your Real Estate License.
