Role : Executive Assistant Duration : 3-6-month contract to start, with strong potential for conversion Work type : Remote (PST timezone)
Our leading AI-powered technology solutions provider client is seeking a highly organized and proactive Executive Assistant to provide administrative and operational support to two Executive Assistants, while also assisting two senior sales executives (C-suite level). This role requires exceptional calendar management, travel coordination, communication, and multitasking skills in a fast-paced environment.
The ideal candidate is detail-oriented, adaptable, and experienced in supporting senior leadership while managing competing priorities across multiple stakeholders.
Responsibilities
• Provide administrative support to two Executive Assistants and senior sales leadership.
• Manage complex calendars, coordinate meetings, and resolve scheduling conflicts across multiple time zones.
• Arrange and manage domestic and international travel, including flights, accommodations, transportation, and itineraries.
• Coordinate executive meetings, customer engagements, leadership events, and virtual conferences.
• Prepare meeting materials, agendas, presentations, and follow-up action items.
• Monitor and prioritize emails, communications, and executive requests.
• Act as a professional liaison between executives, internal teams, clients, and external partners.
• Support expense reporting, document management, and administrative processes.
• Ensure executives are well-prepared for meetings and business travel.
• Handle confidential information with the highest level of discretion and professionalism Quailification
• 3-5+ years of Executive Assistant or Coordinator experience supporting senior leaders.
• Experience managing complex executive calendars and travel arrangements.
• Prior experience supporting multiple stakeholders simultaneously.
• Strong verbal and written communication skills.
• Excellent organizational and time management abilities.
• Ability to work PST business hours and support a fast-paced sales organization.
• Advanced proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and Teams.
• Strong attention to detail and ability to maintain confidentiality.
