Job Description

About us HotDoc is Australia’s leading patient engagement platform, connecting millions of patients with their preferred GP practices through online booking, digital registration forms, telehealth, recalls and patient communications. Founded in Melbourne in 2012, we help practices run more sustainably — and we’re now backed by Potentia Capital, alongside Acclivis Group and long-term investor Airtree, to fund our next stage of growth. That backing brings the discipline of a private equity-owned business: monthly board and investor reporting, and a close focus on cash, margin and EBITDA. We’re looking for a Head of Finance to own our accounting, tax, reporting and controls — and to rebuild how that work gets done, with AI at its centre. The role – Head of Finance — build a lean, AI-enabled finance function You’ll own the actuals, the controls and the close, leading a team of two and working alongside our FP&A Manager, who owns budgets and forecasts. Together you’ll give the CFO, the board and our investors accurate, timely numbers they can act on. Just as importantly, you’ll design the agentic and automated solutions that shorten the close, cut routine work and free the team for analysis — building a function that scales as the business and the HotDoc group grow. What you’ll do • Own the month-end close and the full accounting cycle — billing, direct debits, AR, AP, payroll and bookkeeping — and sign off the P&L and balance sheet, with a clear path to close by working day 5. • Prepare board pack financials and investor reporting, monitor debt facility covenants, and support the value-creation plan with reliable reporting on cash, EBITDA and margin. • Own year-end, statutory financial statements and the external audit, and all ATO and SRO obligations. • Maintain the 13-week cashflow forecast and manage working capital, liquidity and banking. • Keep revenue recognition, deferred revenue and SaaS metrics (ARR, MRR, churn) consistent, and reconcile billing and CRM data to the ledger with Revenue Operations. • Set and deliver a finance AI roadmap: identify rules-based processes suited to agents, then design, test and deploy them with human review points, audit trails and controls — and measure the hours and close days saved. • Lead finance systems strategy across ERP, payroll, expense and reporting tools, working with Engineering, Data and IT. • Lead, coach and develop a team of two. What you’ll bring • CA or CPA qualification, with a degree in accounting, finance or commerce. • A track record of owning the month-end close and leading a finance team, in a role with real reporting accountability. • Deep expertise in financial reporting, statutory compliance and internal controls. • Board and investor reporting experience — ideally in a private equity-backed business, including covenant reporting. • Strong cashflow management and financial modelling. • Working knowledge of SaaS metrics, revenue recognition and tech company reporting. • Hands-on experience automating finance processes, and a genuine interest in applying AI and agentic tools to finance work. • Advanced Excel and confidence with cloud finance systems such as Xero or NetSuite. • The ability to explain the numbers clearly to leaders outside finance. Bonus points • You’ve built or configured AI agents, workflow automation or data tools yourself. • Experience as a Financial Controller, Senior Finance Manager or equivalent. • A Big 4 or mid-tier audit background. • Experience in high-growth technology, SaaS or healthcare. • Exposure to M&A, due diligence or post-acquisition integration. Why HotDoc We live by four values — Care, Honesty, Ownership and Fun — and we’re an employee-first company: we can’t look after patients and practices without first looking after our people. • Flexibility to work from home and from our Melbourne HQ or Sydney • Comprehensive Health & Wellbeing Program • A generous Learning and Development budget • Parental leave program, including paid baby sleep school, first aid courses and EAP for primary and secondary caregivers • Private and confidential EAP for all employees from day one • In-house Career and Strengths Coaching • Company-wide events at our Melbourne HQ several times a year We ask that all local staff make an effort to attend the office once a week to build relationships and meet colleagues they may not encounter during a normal working day. If this is not possible, please speak to Kate McGreavy during the recruitment process so we can assist with flexible working considerations. HotDoc prides itself on being an inclusive and diverse workplace; in fact, we celebrate it. We welcome applications from all backgrounds, communities and industries. If there are any alternative considerations you might require to perform this role, or anything we can do to assist you in the application process, please let us know.
