Facilities Coordinator / Receptionist – Contract Location: Downtown Toronto, ON – On-Site
Employment Type: Temporary Contract
Contract: October 13, 2026 – December 31, 2026, with potential 3-month extension
Hours: Monday to Friday, 9:00 AM – 5:00 PM
Pay Rate: $23.00–$25.00/hour, based on experience

About the Opportunity Fuze HR Solutions is currently recruiting for an experienced Facilities Coordinator / Receptionist on behalf of a large, established organization with operations across Canada.
Our client operates in a professional, fast-paced corporate environment and is looking for a highly organized and service-oriented individual to support its Downtown Toronto head office, while also providing facilities coordination support to its Vancouver satellite office.
This is much more than a traditional reception position. The successful candidate will act as a key point of contact for employees, visitors, vendors, contractors, property management and internal stakeholders while supporting the day-to-day facilities operations of the office.
The initial contract will run until December 31, 2026, with the potential to extend for an additional three months.
Key Responsibilities Reception & Front Office Support
• Manage reception and provide professional front-office support.
• Receive, greet and direct visitors appropriately.
• Respond to calls, requests and tickets received through the Facilities Help Desk.
• Assist with resolving day-to-day facilities issues within the Toronto office.
• Coordinate facilities-related requirements for the Vancouver satellite office with support from local staff.
• Serve as a primary point of contact between the Toronto office and building landlord/property management.
• Contact and coordinate with external vendors, contractors and service providers as required.
• Support office security-related requirements and processes. Facilities Coordination
• Coordinate critical building maintenance appointments and maintain the associated calendar.
• Support office moves, relocations and facilities requirements related to office renovations.
• Coordinate with contractors and vendors performing work within the office.
• Obtain proposals and quotations for contracted and subcontracted work.
• Assist with corporate facilities initiatives and ongoing office projects.
• Maintain required Certificates of Insurance for facilities vendors.
• Create and maintain office signage and nameplates.
• Maintain and update emergency contact information for the Toronto and Vancouver offices.
• Assist with gathering vendor quotes for annual facilities budget planning.
• Track unplanned and unbudgeted facilities expenses. Administrative & Financial Support
• Process receipts and invoices accurately and in a timely manner.
• Assist vendors and contractors with resolving payment-related issues.
• Prepare and distribute correspondence as required.
• Schedule and coordinate internal and external meeting requests.
• Support general administrative requirements related to facilities operations. Purchasing & Vendor Support
• Assist with setting up new vendors.
• Follow established requisition and purchasing workflows to obtain Purchase Orders.
• Order office and facilities supplies as required.
• Maintain accurate documentation related to vendors, purchasing and facilities services. Meetings, Events & Office Support
• Assist with the setup and breakdown of internal office events and meetings.
• Coordinate meeting-room and facilities requirements.
• Provide hands-on support for various office initiatives as needed.
• Work collaboratively with internal stakeholders to maintain a professional, organized and welcoming workplace. Qualifications & Experience
• University degree and/or college diploma in a related discipline preferred.
• 5+ years of administrative experience.
• 2–3 years of facilities coordination experience.
• Previous reception/front-office experience within a professional corporate environment is strongly preferred.
• Strong experience coordinating with vendors, contractors, landlords or property management.
• Experience processing invoices, purchase orders and/or vendor documentation.
• Proficiency with Microsoft Outlook, Word, Excel and PowerPoint.
• Oracle experience is considered an asset.
• AutoCAD experience is considered an asset.
• Strong organizational and time-management skills.
• Excellent verbal and written communication skills.
• Demonstrated ability to prioritize multiple requests and responsibilities.
• Professional, polished and customer-service focused.
• Comfortable working independently while coordinating with multiple internal and external stakeholders.
• Able to adapt quickly to changing priorities in a fast-paced office environment. Ideal Candidate The ideal candidate is someone who combines the professionalism and interpersonal skills required for a corporate reception environment with hands-on facilities and administrative experience.
You are proactive, organized and comfortable taking ownership of day-to-day office issues. You can communicate confidently with employees, senior stakeholders, vendors, contractors and property management, and you are equally comfortable greeting a visitor, processing an invoice, coordinating a maintenance request or helping prepare the office for an event.
