Reference: DUR003526-NA-3 Our client, an established medical distribution company based in Durban North, is seeking an exceptional Office Administrator to provide hands-on administrative and operational support to the Management team across the Sales and Accounts departments. This is an important support role within the business and would suit an individual who is highly organised, proactive, reliable and solutions-driven, with the ability to think critically and take ownership of tasks. We are looking for someone who does not simply "tick boxes", but who takes pride in their work, anticipates what needs to be done, follows through on tasks and contributes towards an efficient and productive working environment.Duties & Responsibilities Minimum Requirements: • Matric. • Certificate, Diploma or Degree in Administration, Business Administration or a related field would be advantageous. • Minimum 2 years' relevant administrative experience. • Working knowledge of Sage Pastel. • Intermediate Excel skills. • Strong computer literacy. • Excellent written and verbal communication skills. The Role: This is a flexible and supportive role that does not follow a rigid or narrowly defined job profile. The successful candidate will work closely with the core Management team and provide administrative support across various areas of the business as required. Responsibilities may include, but are not limited to: Administration & Data Management: • Managing and maintaining Excel databases, schedules and trackers. • Capturing, sorting, analysing and evaluating data. • Maintaining accurate, organised and up-to-date records. • Filing and document control. • Managing accommodation bookings and related administrative arrangements. • Handling telephone queries, follow-ups and day-to-day administrative requirements. • Providing general administrative and adhoc support to management and departments. • Assisting management in maintaining an efficient workflow across departments. Sales & Customer Support: • Liaising with Sales Representatives and following up on outstanding matters. • Assisting with order verification and processing. • Preparing picking slips and invoices. • Preparing and processing quotations using Sage Pastel. • Following up on orders, customer queries and outstanding information. • Processing Waybill-related documentation, freight information. • Providing administrative support to ensure a smooth and efficient sales process. • Assisting with basic digital marketing. Government Sales, Quotations & Tenders: • Assisting with government-focused quotations and tender submissions. • Monitoring tender portals and relevant government websites. • Identifying potential quotation, tender and sales opportunities. • Maintaining tender and quotation deadlines and ensuring timely follow-ups. • Taking and distributing meeting minutes were required. The successful candidate will play an important role in helping the Management team reduce administrative backlogs, improve workflow, maintain productivity and ensure that day-to-day business activities continue to run efficiently.Package & RemunerationR15 000.00 - R18 000.00 per month (cost to company)
