About us
The Quantum Kid is a multidisciplinary healthcare business supporting children and families through personalised care and education.
We are seeking an experienced Office Manager to manage office administration, coordinate staff and resources, and maintain effective business support systems. Reporting to the business owners, you will work closely with practitioners, administrative staff, suppliers and external service providers.
About the role
You will oversee the office’s day-to-day administrative functions, ensuring staff, systems and resources support efficient service delivery. The position combines team supervision, workforce coordination, financial administration and process improvement.
Key responsibilities
• Plan, implement and review office procedures, administrative workflows and service standards.
• Coordinate administrative staff rosters, allocate workloads and monitor work quality and performance.
• Coordinate recruitment, onboarding, training and performance review processes for administrative staff.
• Maintain personnel records and coordinate attendance, leave, timesheets and payroll inputs.
• Oversee financial administration, including supplier invoices, payment reconciliations, cash and payment terminal settlements, and expense tracking.
• Prepare operational reports and financial summaries, and monitor office expenditure against agreed budgets.
• Maintain accurate business, personnel and client records, ensuring confidentiality and appropriate access.
• Manage purchasing, stock levels, supplier relationships, office equipment servicing and facilities maintenance.
• Allocate office space, rooms, equipment and other resources to meet operational needs.
• Liaise with business owners, practitioners, suppliers and external providers to resolve administrative issues.
• Maintain standard operating procedures and support compliance with workplace health and safety, privacy and recordkeeping requirements.
• Manage escalated administrative enquiries professionally and support clear communication with families.
• Identify and implement improvements to office systems and business support processes.
Essential skills and experience
• A Diploma or higher qualification in business, commerce, management or a related field, or at least three years of relevant experience in lieu of a formal qualification.
• Demonstrated experience managing office administration or business support functions, including supervising staff and coordinating resources.
• Experience in rostering, recruitment, onboarding, staff training and maintaining personnel records.
• Practical knowledge of financial administration, including invoicing, reconciliations, expense monitoring and reporting.
• Strong organisational skills, attention to detail and the ability to manage competing priorities.
• Clear written and verbal communication skills, with a professional approach to resolving service issues.
• Experience handling confidential information and maintaining accurate records.
• Proficiency in Microsoft 365 and confidence using accounting, workforce management and client administration systems.
• Ability to work independently and collaborate effectively with business owners and professional staff.
Relevant experience gained in healthcare, hospitality, community services, retail or other service-based businesses will be considered where it demonstrates the required administrative and management responsibilities.
Desirable skills and experience
• Experience communicating with families and clients from diverse backgrounds.
• Familiarity with Xero or comparable accounting software, and electronic rostering or payroll systems.
• Familiarity with Cliniko and Core practice health care related software.
• Experience improving administrative processes, implementing systems or developing office procedures.
• Knowledge of workplace safety and emergency procedures.
