Logistics Coordinator (Fixed Term Contract)

Introduction The Logistics Coordinator provides operational support in the day-to-day coordination, tracking, and administration of export and local logistics operations. Reporting directly to the Supply Chain Manager, this role executes freight scheduling, shipping documentation, invoice verification, and SAP data entry. Basic SAP knowledge and a willingness to learn are required. Duties & Responsibilities Export & Sea Freight Control (Container & Bulk) 1. Manage end-to-end export order processing from order receipt to final delivery. 2. Process export orders from receipt through to dispatch. 3. Enter purchase orders and shipping details accurately into the SAP system. 4. Confirm stock availability and coordinate dispatch planning with warehouses. 5. Liaise with freight forwarders and shipping lines to secure vessel bookings. 6. Prepare and validate shipping instructions and documentation. 7. Monitor vessel schedules and proactively manage shipment risks or delays. 8. Track DAP/DDP shipments through to final delivery. 9. Provide regular updates to internal and external stakeholders. Documentation & Compliance 1. Ensure accuracy of Bills of Lading, Sea Waybills, Packing Lists, Certificates of Origin, and Certificates of Analysis. 2. Follow standard operating procedures to ensure export regulatory compliance. 3. Maintain structured electronic documentation for audit readiness. 4. Log freight queries and file overcharge/undercharge claims. Local Transport & Distribution Control 1. Coordinate local stock movements between sites and warehouses. 2. Monitor dispatch execution and delivery performance. 3. Verify and approve transport invoices against agreed contractual rates. 4. Process Purchase Orders and GRVs in SAP. 5. Monitor transporter performance and delivery KPIs. 6. Identify and implement cost-saving initiatives. Financial & System Control (SAP Mandatory) 1. Capture and manage logistics transactions accurately in SAP. 2. Create and manage Purchase Orders, service entries, and GRVs. 3. Ensure documents are processed within the correct financial period. 4. Support month-end stock reconciliation and accrual processes. 5. Maintain freight rate tables and ensure billing accuracy. 6. Update freight rate records and check invoice accuracy. 7. Gather data and prepare logistics cost reports and administrative summaries.
