Job Description

Role Overview: The Executive Assistant to the CIO is the central coordination point for a multi-jurisdiction, USD 500 million+ family investment portfolio spanning equities, funds, structured products, real estate, and alternative investments, held through Indian and offshore entities (BVI, Jersey, France and other jurisdictions). The role combines investment support, offshore banking and treasury coordination, legal and regulatory liaison, MIS/reporting, and general executive-office support, working directly with the CIO, promoters, and a network of banks, trustees, lawyers, accountants and fund managers. Key Responsibilities: Investment & Portfolio Management: - Support the CIO across the full investment lifecycle - evaluation, approval notes, documentation, execution, settlement and monitoring - for a diversified multi-asset, multi-currency portfolio. - Review term sheets, factsheets and offering documents; prepare comparative investment tables covering returns, fees, liquidity, risk and tax treatment. - Track performance against benchmarks, coordinate redemptions/subscriptions, and maintain transaction and approval records. Offshore Banking, Treasury & Cash Management: - Coordinate account opening, KYC/AML and ongoing banking requirements across global institutions (e.g., Barclays, UBS, HSBC, Julius Baer, and Indian banks). - Manage cross-border payments, FX conversions, liquidity monitoring, bank reconciliations and negotiation of banking/custody terms. FEMA, RBI & Cross-Border Regulatory Support: - Support ODI and FEMA-related transactions; prepare factual briefs for legal/tax advisers and translate advice into implementation steps. - Coordinate regulatory filings and maintain a complete record of opinions, approvals and post-transaction obligations. Offshore Entities, Trusts & Succession: - Support administration of trusts, SPVs and operating companies across multiple jurisdictions. - Maintain structure charts, corporate registers, and compliance calendars (annual returns, filings, economic substance). Legal, Real Estate & Project Coordination: - Prepare legal briefs, chronologies and issue lists for cross-border matters; track adviser fees, deliverables and deadlines. - Support cost accounting, budget tracking and approvals for real estate projects across multiple jurisdictions. MIS, Reporting & Executive Support: - Maintain Excel-based MIS covering portfolio, banking, cash flow and entity-level reporting; explore AI-enabled tools for reporting and document review. - Prepare board/promoter-ready briefing notes, agendas and trackers; maintain a well-organised, retrievable document archive. Ideal Candidate Attributes: - Sharp, discreet, and dependable - comfortable handling confidential family and financial information with judgement and integrity. - Strong analytical and drafting ability, with the patience to work through detailed legal, tax and banking documentation. - Organised self-starter who follows through on multi-party, multi-jurisdiction matters without needing constant supervision.
