Job Description

Role: Part-time Executive Assistant Priority Location: South Africa Working Hours: 9am-1pm CST with flexibility as needed (20hrs/week) Type of contract: Independent Contractor Target Start Date: ASAP The final offer is at the client’s discretion and will depend on the candidate’s interview result, skills, and experience. About the Company: Our client is seeking a highly organized, proactive, and detail-oriented Executive Assistant to support two areas of his professional life. The first is his full-time role as Head of Talent at an AI startup, where he spends much of his day meeting with candidates, hiring managers, and internal stakeholders. The second is his growing real estate investment business, where he manages rental properties and residential renovation projects. This role is ideal for someone who enjoys variety. One moment you'll be keeping recruiting processes moving and managing executive communications, and the next you'll be coordinating contractors, collecting vendor quotes, or organizing renovation projects. Initially, the role will be execution-focused, but over time we're looking for someone who becomes a true strategic partner—anticipating needs, staying one step ahead, and proactively taking work off the client's plate. Key Responsibilities: Executive Assistant Support (Head of Talent) This portion of the role focuses on helping the client stay organized and responsive throughout a busy workday filled with meetings. Responsibilities include: • Manage and organize the executive's inbox • Draft emails and follow-ups on the executive's behalf • Ensure candidates and internal stakeholders receive timely communication • Keep recruiting and hiring processes moving forward • Capture meeting notes and convert them into clear, well-formatted summaries • Prepare post-meeting updates and action items • Calendar management and scheduling support • Assist with light HR and People Operations administrative tasks • Organize documents, notes, and internal information • Help ensure important tasks and follow-ups never fall through the cracks Executive Assistant Support (Real Estate Portfolio) The second portion of the role supports a growing personal real estate investment business consisting of rental properties and renovation projects. Responsibilities include: • Coordinate contractors and vendors • Source and compare vendor quotes • Schedule inspections, repairs, and renovation work • Help organize invoices, payments, and project documentation • Track project progress and outstanding tasks • Maintain organized records across multiple properties • Follow up with vendors to keep projects moving efficiently • Handle general administrative tasks related to the real estate portfolio Qualifications & Skills: • Professional Experience: Proven background as an Executive or Administrative Assistant with experience in project or vendor coordination. • Communication: Exceptional written English skills; capable of confidently drafting emails and communications on the executive's behalf. • Operational Excellence: Highly organized, detail-oriented, and reliable with a proactive approach to managing competing priorities and independent workflows. • Core Support: Proficient in inbox management, calendar coordination, and converting meeting discussions into clear, professional summaries. • Versatility: Comfortable context-switching between diverse business areas, including Talent/Recruiting operations and Real Estate portfolio management. • Growth Mindset: Ability to evolve from a task-focused assistant into a strategic, anticipatory partner over time. • Preferred: Prior experience in Recruiting, HR, People Operations, or real estate is a plus but not required.
