Job Description

SingAREN (established 2003) is a registered not-for-profit society and an NRF-recognized National Research Infrastructure (NRI). We operate Singapore's high-speed national research network connecting local universities and research institutes globally.

We are seeking a proactive Administrative & Operations Manager to anchor our daily operations, society governance, and funding compliance in a lean, high-impact team environment.

Key Responsibilities

Governance & Secretariat: Manage AGM/EGM logistics, prepare Executive Committee (ExCo) meetings, take minutes, and file Registry of Societies (ROS) submissions. Funding & Grant Tracking: Assist with NRF funding documentation, monitor project KPIs, and track expenditures against project scopes.

Finance & Audit Support: Coordinate with external accounting vendors, manage invoicing, track member subscriptions, and support annual financial audits. Office & Vendor Operations: Manage daily office facilities, handle procurement, oversee IT/telecom subscriptions, and manage vendor contracts.

Stakeholder Engagement: Serve as the administrative liaison for member institutions (NUS, NTU, SMU, SUTD, A*STAR) and partner agencies. Compliance: Ensure internal processes strictly align with public funding guidelines and Singapore's PDPA regulations.

Requirements

& Skills Experience: 3 to 5+ years in office management or corporate administration. Experience in Singapore’s IHL, statutory board, or NGO sectors is highly preferred. Education: Bachelor’s degree or Diploma in Business Administration, Corporate Governance, or a related field.

Knowledge: Familiarity with Singapore ROS guidelines and government grant reporting protocols is a major advantage. Skills: Proficient in Google Workspace/MS Office, highly organized, and possessing the professional maturity to interact with senior academic and agency leaders.
