Dream is looking for an Office Administrator (Bilingual)! Dream’s Ottawa team is currently looking for an Office Administrator to support our team with the day-to-day office and support our local accounting team. Who are you? What will you do? Below are some of the primary responsibilities you will be taking on in this role. There will be more, but we can discuss those in person: • Greet clients/customers with professionalism, on the phone and in person and respond to correspondence; • Assist with overseeing the operation and management of the office, including liaising with Technology, People + Culture, Office Services, cleaning staff, other departments and counterparts in our Toronto office as needed; • Order office supplies, distribute mail and courier packages, manage Boardroom Scheduling and Maintenance; • Oversee the tidiness of common areas, including meeting rooms and kitchen spaces; • Assisting the accounting department with various tasks including overseeing the incoming accounts payable correspondence, scanning cheques for deposit, and other items as required; • Receive, scan and organize invoices for all projects and distribute for approval to various project teams; • Create purchase orders and set up new vendor accounts; Update monthly P.O. tracking worksheet as required; • Process office related expense invoices in Coupa, which includes coding/allocating to appropriate business unit and GL code; • File various forms/correspondence for all departments; and • Provide administrative support to office as required. What type of experience and skills do you have? These are only some of the things we’d like you to bring to the table. We can cover the rest when we meet. • Post-secondary education in Business Administration or Office Administration; • 3+ years of experience running the day to day operations of an office, with a focus on service for our employees; • Strong computer and typing skills and proficiency in Microsoft suite; • Previous experience with Accounts Payables; • Fluent in both English and French; and • We would love it if you had previous experience with JD Edwards and/or Coupa. Total Rewards @Dream This is a regular, full-time position with a base salary range of $50,000-$60,000. In addition to base salary, the role is eligible for a performance-based bonus and a comprehensive benefits package, which includes paid vacation and personal days, flexible benefits, mental health resources, access to perks and discounts, professional development support, and team-building and social events. Compensation is determined based on several factors, including relevant experience, total years of experience, industry experience, education, and professional designations.
