Job Description
Project Administration Provide administrative support to Project Managers and Site Supervisors. Prepare and maintain project documentation, including contracts, purchase orders, variation orders, quotations, and project reports. Coordinate project submissions, work schedules, and progress updates. Monitor project timelines and assist in tracking project deliverables. Attend project meetings and prepare meeting minutes when required. Liaise with clients, consultants, subcontractors, suppliers, and internal departments. Maintain proper filing and documentation for all project records. Assist in preparing claims, progress reports, and project close-out documentation. Purchasing & Procurement Source, obtain, and evaluate quotations from suppliers and vendors. Prepare Purchase Orders (POs) and ensure compliance with company procurement procedures. Procure electrical materials, equipment, tools, and site consumables according to project requirements. Coordinate delivery schedules to ensure materials arrive on site on time. Monitor stock levels and maintain procurement records. Follow up with suppliers on delivery status and resolve supply-related issues. Verify supplier invoices, delivery orders, and purchase documentation. Support cost control initiatives by obtaining competitive pricing and negotiating with suppliers. Requirements Diploma or Degree in Business Administration, Supply Chain Management, Engineering, or related discipline. Minimum 2 years of relevant experience in project administration and procurement. Candidates with experience in Electrical, Construction, M&E, or Engineering industries will be highly preferred. Proficient in Microsoft Office applications, especially Excel and Word. Experience using ERP, accounting, or procurement systems is an advantage. Strong organizational, communication, and coordination skills. Able to work independently and manage multiple tasks simultaneously. Meticulous, responsible, and able to meet project deadlines.
