Job Responsibilities: To provide a centralized administrative and transactional support across the integrated Soft, Security and Engineering functions. This role ensures contractual compliance through rigorous invoice processing, performance data consolidation, Single Central Record, licensing and contract lists, and maintaining the “Audit-Ready” status of the Facilities, Cafe and Transport Operations sections. End-to-end processing of invoices, ensuring three-way matching between Vendor Invoices, Service Entry Sheets and Purchase orders. Liaise with Finance Department to track aging reports and resolve payments discrepancies for both fixed and ad-hoc (non-fixed) resources. Consolidate monthly Service Level Agreement (SLA) and Key Performance Indicator (KPI) data from various service streams Ensuring timely submission of performance reports from Integrated Service Vendors and verifying data accuracy against on-site proof- of-presence tools. Tracking penalties/incentives structures base don the structured performance model. Maintain Digital Document Library such as Google Drive and Share point for all maintenance regimes, service reports and safety certifications. Coordinating staff attendance and training records for the on-site team. Monitoring and following of Single Central Record and ensuring updated records. Provide card printing support on seasonal basis. Process, evaluate and monitor bus chartering invoices and catering invoices. Provide activities and events support. Job Requirements: Proficient in Microsoft Office 365. Knowledge on Google platform will be an advantage. Experience in Facilities Ticketing System will be an added advantage. Ability to synthesize raw data into clear, professional reports. At least 3 years of relevant Administrative experience in an Facilities Management environment. Aaron Teo Yiau Bing CEI Reg.
